The short answer
Upwork's Hourly Protection pays you for disputed hours only when they were logged with the time tracker in the Upwork desktop app, show activity related to that contract, carry a memo describing the work, and sit inside the contract's weekly limit. Manually added time is not covered. When a client disputes, Upwork reviews your diary against those criteria and pays the segments that pass.
What the Work Diary actually records
With the tracker running, the desktop app takes a screenshot six times an hour and files each into a ten minute billing segment, alongside a count of the mouse clicks, scroll actions and keystrokes in that window. Upwork's documentation states it does not record what you clicked on or typed, only how much of it there was, and that screenshots are deleted after a year.

What actually qualifies for Hourly Protection
Upwork's criteria form a single condition where every part must be true at once. There is no partial credit for mostly complying.
- An hourly contract is in place.
- The hours were logged with the time tracker in the Upwork desktop app.
- The activity in the screenshots relates to that contract.
- The segments carry memos or activity labels describing the work.
- Activity levels are adequate and fair.
- You stayed inside the contract's weekly limit.
- Your identity is verified.
- Your client is using a verified billing method.
- Your account is in good standing.

What voids protection, segment by segment
Upwork excludes diary segments that are added manually, idle or empty, over the weekly limit, showing activity unrelated to the work, or missing memos and carrying inadequately described ones. The detail that matters is that this is applied per segment, not to the week as a whole.
That cuts both ways. A week with thin memos on two hours and clean memos on eighteen loses two hours, not twenty. It also means skipping memos on the boring parts of a job strips protection from the exact segments a suspicious client will point at.
- Stop the timer when you step away, so idle minutes never enter the diary.
- Pause for anything that is not the contract, including a quick personal tab.
- Write one specific memo per task and change it when the task changes.
Manual time, and why it is unprotected
Manual time is not forbidden. You need the client's permission, either as a contract setting they enable from the start or granted case by case, and it cannot be added while a contract is paused. It bills normally and shows light green in the diary. What it lacks is activity data, which is why it sits outside protection: there is nothing for a reviewer to check.
Think of manual time as unsecured credit: you are trusting the client to pay it. With someone who has paid without argument for months that is reasonable. In week one with a new client it is not.
- Get approval in Upwork messages before you add it, naming the date, the duration and the reason.
- Keep it a small fraction of the week. A diary that is mostly light green invites a dispute rather than surviving one.
- Never reconstruct a whole week by hand because you forgot the tracker. Raise it, agree what is fair, and take the hit if there is one.

What happens when a client disputes your hours
Most freelancers learn this sequence while it is happening to them. It is fixed, and it moves fast.
- Your contract is paused and the weekly limit is set to zero. Stop working.
- You have three days to accept or decline. Responding matters more than which way you go.
- Accept, and all disputed hours are refunded to the client. You are paid nothing for them.
- Decline, and an Upwork dispute specialist reviews your diary against the protection criteria. Upwork states that review happens within one business day.
- Hours that meet the criteria are paid on the usual weekly cycle. Hours that do not are refunded to the client.
- Ignore it, and Upwork investigates without your input and pays only the hours that qualify. The rest may be lost.

How to write a memo that survives a dispute
Under scrutiny a memo has one job: let someone who knows nothing about your project match the text to the screenshot beside it. Most memos fail that because they are shorthand written for yourself.

- Name the artefact, not the category. The file, the page, the ticket, the section.
- Change the memo when you change task, not at the end of the day. One memo stretched across four tasks is what inadequately described looks like.
- Explain low activity segments in the memo. A long specification or a call produces almost no clicks, and the memo is the only thing separating that from an empty segment.
The weekly habits that keep hourly contracts safe
Almost everything that goes wrong on hourly is fixable in the week it happens and unfixable afterwards, because of the calendar. The work week runs Monday to Sunday in UTC, you can only edit the current week's diary on an active contract, and the previous week locks after Monday at noon UTC.

- Read your own diary once a week before the Monday noon cutoff, as a suspicious client would. Remove what is genuinely not billable and thicken any memo that says nothing.
- Agree a higher weekly limit before a heavy week. Time over the cap is not invoiced automatically, and asking for a bonus afterwards leaves you at the client's discretion.
